The Architecture We Built
Stage 1: Lead Capture → Notion (Automated)
Contact form submissions via their website trigger a Make scenario that creates a new record in Notion's Lead Pipeline database, sends an internal Slack notification to the relevant consultant, and triggers an AI-personalised follow-up email within 3 minutes of submission.
Stage 2: Proposal Generation (Semi-Automated)
When a lead moves to "Proposal" status in Notion, Make triggers a Google Docs template with the client's name, company, and requirements pre-filled. The consultant reviews, edits the scope, and sends — saving 45 minutes per proposal.
Stage 3: Contract & Onboarding (Automated)
Signed contracts (via PandaDoc) trigger an onboarding sequence: welcome email with a branded client portal link, a Notion workspace is created and shared, kickoff scheduling link is sent, and a task list is auto-generated for the consultant.
Stage 4: Invoicing (Automated)
Project completion status in Notion triggers invoice creation in FreshBooks, with the correct line items pulled from the project record. Payment reminders run automatically at 7, 14, and 21 days past due.
The Results
After three months: admin time per client dropped from 4 hours to under 45 minutes. No deals were missed due to follow-up failures. Client satisfaction scores increased (faster response times, more consistent onboarding). The firm took on 30% more clients with the same team.
